Legalize Dutch Documents
Dutch documents can be legalized for cross-border use by means of Apostille Certification or Consular Legalization
Apostille Certification
An Apostille Stamp is a simplified procedure of international attestation. When affixed to documents, Apostilles are directly recognised by the authorities of over 120 countries (Signatories of the Hague Apostille Convention) as certifying the document’s validity, without requiring additional certification.
Since the Netherlands is a signatory to the convention, Isarey can assist by obtaining Apostille Certification for Dutch documents so that they are valid for official use in other signatory countries, including: Spain - Italy - Portugal - Greece - Cyprus - France - Saudi Arabia - Germany - China
Consular Legalization is required when a document from the Netherlands is to be used in a non-signatory country. In this case, following authentication by authorities in the Netherlands, the document must be certified a second time in the Netherlands by the embassy representing the country where the document is to be used.
Submission within the European Union Certain Dutch documents do not require Apostilles when they are presented to authorities of other European Union countries (the receiving authority should accept the original or a certified copy).
When applying for certain public documents, a multilingual standard form may be requested to accompany the original. A multilingual standard form must always be issued and signed by a Dutch authority, providing a translation aid designed to help the receiving authority to understand a public document which is in a language not accepted by the receiving EU country. See: EU Multilingual standard forms
Dutch documents not requiring Apostilles include birth, death, marriage certificates, absence of a criminal record (a clean criminal record of a Dutch citizen), certificates of nationality and residence: See: Regulation (EU) 2016/1191
Other Dutch documents, including academic certificates, still require Apostille certification and certified translation to be valid in other EU countries.
Civil status certificates (multilingual extracts from the civil status registers) Dutch birth, marriage and death certificates) issued in accordance with the conventions of the International Commission on Civil and Civil Status should not require Apostille Stamps when being submitted to one of the following countries:
Austria, Belgium, Bosnia & Herzegovina, Bulgaria, Croatia, Cape Verde, Estonia, France, Germany, Italy, Lithuania, Luxembourg, Moldova, Montenegro, Poland, Romania, Serbia, Slovenia, Spain, Switzerland, Turkey.
Multilingual certificates of no impediment to marriage Dutch certificates of no impediment to marriage are exempt from any formality for submission to the following countries (Munich CIEC Convention): Germany, Greece, Italy, Luxembourg, Moldova, Austria, Portugal, Switzerland, Spain, Switzerland, Turkey
Certified Translation
Where Dutch documents are to be used abroad and where the receiving country has a different official language, a sworn or certified may also be required. Isarey takes care of any certified translations required as part of the document attestation process, ensuring that translations are carried out and certified in accordance with local regulations.
A certified translation on its own only provides assurance that the translation itself is accurate and true; it does not confirm the authenticity of the original document. The original document must be legalized for a certified translation to carry equivalent legal weight.

If you have changed your name or gender, you can often have it changed on your diploma, certificate or list of grades. Depending on your diploma, you can download it or request an extract.
Birth, Death, Marriage Certificates
Request an extract or official copy of a civil status record
Extracts and official copies of Dutch birth, death and marriage certificates can be obtained from the Municipality where the birth, death or marriage was registered. A civil status record extract contains only the essential details of the record and can be requested by the person named in the certificate or a direct relative (e.g. spouse, parent, child). An official copy of a civil status record is a copy of the original record stamped and signed by the Registrar of Births, Deaths.
A KVK Business Register extract provides a summary of a company’s registration data (name and address, date of establishment, directors, authorised signatory, the nature of the company and its registered office). Certified paper extracts and digitally certified extracts are available in Dutch and in English.
Certified copies of deeds of incorporation and articles of association are also available from the Chamber of Commerce, as well as other filed company documents.
Certificates of conduct from the Netherlands (Verklaring Omtrent het Gedrag) required for emigration purposes (for example to apply for a foreign visa or work permits) can be obtained by making a written request via the municipality or by applying to Justis.
The application should be made to the municipality when the applicant is registered in the Municipal Personal Record Database (BRP). You will need to attach a confirmation or document from the organisation that is requesting the certificate stating that the certificate is required. Apply by written request via the municipality (in Dutch)
Applicants not registered in the Municipal Personal Record Database should apply directly to Justis. Applications can be submitted by email. Certificates will be delivered by post.
